The Agile Product Routines Every Head of Product Should Adopt

Like a disciplined marching band, strong product routines establish productive and impactful cultures. While I’ve never subscribed to a rigid agile methodology, I’ve found that certain key routines are critical for any team, regardless of the framework they choose. These routines create structure, encourage collaboration, and ensure stakeholders stay connected.

Ideally, they happen in-person with everyone in the room. Because that’s not always possible, I’ve added how DemoHop’s science fair-style platform steps in, making these routines just as effective for modern global workplaces.

If you’re a Head of Product or responsible for Product Operations, here’s your jump start to driving more accountability, celebrating your team, and building trust with stakeholders.

Routine #1: Quarterly Planning

When: Usually ~2-weeks before the start of a quarter.

Each quarter should begin with a solid planning session to set the direction for the next few months. In DemoHop, this session takes the form of a science fair. This format is ideally suited for identifying cross-team dependencies and resolving obstacles on a team-by-team basis without dragging everyone into a drawn-out, monotonous review of each team’s objectives.

Why it matters: Traditional planning meetings can be long and tedious, but the science fair format keeps things moving. Teams get to present their plans, spot potential overlaps, and resolve conflicts quickly. It’s efficient and empowering for everyone involved.

How DemoHop helps: If you’ve never tried a science fair for dependency resolution followed by a concise one-hour session to sort out unresolved conflicts, you’ll be amazed at how efficient it is. DemoHop makes it easy for teams to set up their booths, collaborate, and share ideas without long-winded presentations. Unlike a drawn out planning session, this helps kick off each quarter with clarity and momentum.

Routine #2: Sprint Demos or Sprint Reviews

When: Stakeholder reviews every 2-4 weeks.

Whether you call them Sprint Demos or Sprint Reviews, every team needs both a time when each team member shows progress to the rest of the team and another when they show finished work to stakeholders and collect feedback.

Why it matters: They each have their purpose. The meeting with stakeholders ensure that they’re in the loop throughout the development cycle. Rather than waiting until the end of the quarter, stakeholders get to see incremental progress and provide feedback that can help steer the product in the right direction.

How DemoHop helps: DemoHop allows sprint demos / reviews to run concurrently, giving everyone access to progress across all teams. Plus, with our Demo Replay functionality, people can “time travel” across sprints, reviewing OKRs and progress at any point during the quarter.

Routine #3: Retrospectives

When: At the end of every sprint if you’re using sprints. Otherwise, at least monthly.

Retrospectives are essential to agile routines, allowing teams to reflect on what’s working and what isn’t. These meetings, however, are private and just for the team.

Why it matters: Continuous improvement is at the heart of agile. The retrospective is where teams course-correct, share best practices and learn from challenges. Retros are key to building a culture of learning and adaptation.

How DemoHop fits in: While retrospectives aren’t hosted on DemoHop, they remain a vital part of the team’s workflow. Like sprint demos and sprint planning, retros are managed within the team’s preferred tools and practices, allowing them to handle these reflections in the most effective way.

Routine #4: Demo Day

When: Right at the end of each quarter. Typically, the next quarter’s planning should be done so those future plans can be shared during Demo Day.

Demo Day is the capstone of the quarter—a time to celebrate the work that each team has accomplished. This event isn’t just for the product teams; it’s an opportunity for stakeholders, sales and account personnel, customer service reps, and the entire organization to see what’s been built and learn about their impact.

Why it matters: Demo Day brings transparency and accountability across the organization. Each team gets to showcase their achievements, and it’s a proud moment for everyone involved. It also ensures that the work teams have done isn’t siloed but visible to the whole company.

How DemoHop helps: DemoHop is the optimal way to host a Demo Day. Our science fair format allows everyone to explore the projects that interest them most, while Demo Replay preserves the event and all its content for future use. Whether teams are presenting to stakeholders or showcasing their progress to the whole company, DemoHop ensures that everyone can engage in the moment and revisit the highlights later.

Routine #5: Hackathons or Innovation Week

When: 1-2 times per year. Great for less intense times of year when teams need a chance to experiment and try something new.

Innovation is the lifeblood of any forward-thinking company. Hosting a hackathon or Innovation Week can drive creativity and spark new ideas. These events give teams the space to build prototypes, solve problems, and think outside the box.

Why it matters: Hackathons and Innovation Week foster a culture of experimentation and creativity. They give teams the freedom to pursue new ideas and gain buy-in from the rest of the organization.

How DemoHop helps: DemoHop provides the perfect platform for showcasing each innovation team’s work and attracting support for their initiatives. Teams can present their projects in a casual yet engaging format, ensuring that their ideas gain traction and support within the company.
